GDPdU-Solution Opti.List - Legacy system shut-down

More frequently companies decide on a system change of their user software to decrease their costs. This represents increased requirements with regard to data access by the finance authority. The discarded hard- and software must be made available during the legal data retention period for unrestricted data access (BMF, question- and answer catalogue, as of 6.3.2003, III.12) if legacy data cannot be evaluated by the new or updated system in terms of GDPdU regulations.

With regard to legacy system shut-down and the associated possibility to evaluate and store tax-relevant data in conformity with the law many companies have integrated Opti.List into their system landscape.

 

As a general rule within the framework of legacy system shut-down our procedure is as follows:

  • Preparation of a concept on the basis of the workshop with the following contents:
    • System description
    • Investment plan
    • Project plan
    • Listing of data to be archived
  • Opti.List System installation
  • Opti.List System configuration
  • Transfer of data to be archived to Opti.List
  • data archiving procedure
  • data archiving validation e.g. with
    • IDEA
    • InfoZoom
  • Provision of quantitatively and qualitatively equivalent analysis options
  • Preparation of output options according to Z3
  • Generation of process documentation
  • Training for administrators and key users
  • Generation of project documentation
  • Legacy system shut-down
